We Are Looking for: PROCUREMENT INTERN

Direct Manager: Procurement Manager

Assigned Mentor: Procurement Manager

Working %: 100%

Position Based in: Abidjan, HQ

Type of Contract: Fixed-Term Internship Contract under Ivorian law; (3) months Renewable

Your Role in the team

  1. Operational support to procurement

  • Participate in the preparation and dispatch of Requests for Quotation (RFQ) and Requests for Information (RFI) to suppliers.

  • Collect, compile, and analyze the offers received.

  • Contribute to the preparation of comparative tables and award recommendations.

  • Assist in the creation and follow-up of Purchase Orders (PO) in the information system, as well as in the drafting of contracts, in accordance with established standard procedures.

  • Provide support in monitoring and communicating with missions regarding their ongoing orders handled at headquarters.

2. Administrative and document management

  • File and archive all procurement-related documents, both in paper and electronic formats.

  • Update and expand the approved supplier's database, ensuring accurate and thorough record-keeping.

  • Regularly update price lists.

  • Verify the completeness and compliance of procurement files in accordance with MSF procedures in force.

  • Contribute to updating procurement policies, as well as other supply-related policies and procedures.

  • Participate in monitoring and evaluating supplier and service provider performance.

3. Logistics follow-up and internal coordination

  • Follow up with suppliers to ensure compliance with delivery deadlines.

  • Facilitate coordination between the procurement team, other internal departments, and field missions.

  • Contribute to updating monitoring tools such as dashboards and trackers.

4. Contribution to continuous improvement

  • Take part in optimizing procurement procedures and tools.

  • Identify and propose improvements in document management and supplier monitoring.
